Soph-Fit Membership Terms and Conditions

These terms and conditions are entered into by and between Soph-Fit Ltd (hereinafter referred to as "Soph-Fit") and the Member (hereinafter referred to as "you"). By signing or accepting this agreement, you agree to the following terms:

Membership Services

• Membership entitles you to access Soph-Fit facilities, equipment, and services provided as part of your membership plan.

• Membership is non-transferable and strictly personal; sharing your membership is prohibited.

Membership Requirements

• Membership is open to individuals aged 18 and above.

• Members aged 16–17 may join with written parental or legal guardian consent.

• Persons under the age of 16 must be under direct supervision at all times when on Soph-Fit premises.

Health & Medical Responsibility

• You affirm that you do not have any medical or physical condition that would make exercise unsafe.

• It is your responsibility to consult with a physician if you have any doubts about your ability to engage in physical activities safely.

• Fitness assessments conducted by Soph-Fit are for monitoring progress and are not substitutes for medical evaluations.

Liability

• You are responsible for any property damage or personal injury caused by your actions while on Soph-Fit premises.

• Soph-Fit is not liable for any personal injuries, illnesses, damages, or property loss sustained during your use of the facilities or participation in training sessions.

Sessions and Membership Management

• Session Banking:

  • You may carry over unused sessions to the following month, provided your membership remains active.

  • If you terminate your membership, any unused sessions must be used before the last day of your plan, or they will be forfeited without refund.

• Cancellation Notice: A 31-day notice is required for cancellation of membership, during which all payments remain due.

Payment Policy

• Membership payments are due via direct debit on the 1st of each month.

• In the event of late payments:

  • Your membership access may be temporarily suspended until the payment is received.

  • If payments remain unpaid for 30 days, the total outstanding balance for the agreed contract may become immediately due.

  • Unpaid balances may be referred to a collection agency, with additional fees applied.

Code of Conduct

• Members are expected to follow Soph-Fit’s policies on behavior, safety, and facility use.

• Any inappropriate conduct, abuse of equipment, or disregard for rules may result in suspension or termination of membership without refund.

Exceptional Cancellation

Exceptional cancellations may be granted in the following cases:

• Relocation: If you move more than 10 miles from Soph-Fit, verified with proof of address.

• Medical Reasons: If a medical condition prevents you from participating in exercise, a medical certificate must be provided.

Facility Rules

• Opening Hours:

  • Monday to Friday: 6:00 AM – 9:00 PM

  • Saturday: 7:00 AM – 12:00 PM

  • Closed on bank holidays unless otherwise specified.

• Schedule Changes: Soph-Fit reserves the right to alter schedules or services without prior notice.

• Personal Belongings:

  • Storage facilities are limited and offered at your own risk.

  • Soph-Fit is not responsible for lost or stolen items.

  • Unclaimed items will be retained for 1 week before disposal.

Photo and Video Waiver

• By agreeing to these terms, you grant Soph-Fit the right to use your image (photographs, videos, and testimonials) for promotional purposes.

• If you wish to opt out, you must provide written and signed notice prior to the recording or photography.

Price Adjustments

• Membership prices are fixed for the duration of your membership agreement.

• Adjustments to fees for renewals or extended terms will be communicated 1 month in advance.

Acknowledgment

By signing or accepting these terms and conditions, you confirm that:

• You understand and agree to abide by these terms as part of your membership with Soph-Fit.

• You have had the opportunity to address any questions or concerns before signing this agreement.
